Position Overview: The Executive Assistant to the Director will be responsible for providing comprehensive administrative support to the Director. The role entails managing the Director’s schedule, coordinating meetings, handling correspondence, and performing a variety of tasks to facilitate the smooth functioning of the Director’s office. This position demands a high level of organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Key Responsibilities:
- Administrative Support:
- Manage the Director’s calendar, schedule appointments, and coordinate meetings.
- Handle incoming calls, emails, and other communications, and respond promptly and efficiently.
- Prepare and edit correspondence, communications, presentations, and other documents.
2. Follow-Up and Task Management:
- Maintain a list of follow-ups and tasks, ensuring that all deadlines are met.
- Transfer and prioritize tasks from day to day, providing regular updates to the Director.
- Address challenges in tracking multiple tasks and implement effective tracking systems.
3. Interpersonal Relations:
- Maintain a list of follow-ups and tasks, ensuring that all deadlines are met.

4. Technical Skills:
- Proficient use of Microsoft Excel, including functions such as Pivot Tables, VLOOKUP, HLOOKUP, and linking sheets.
- Conduct online research and provide accurate and timely information as required.
- Draft official letters, emails, and other written communications with high accuracy and professionalism.
5. Personal Assistance:
- Assist the Director with personal tasks, as required.
- Manage travel arrangements, expense reports, and other personal logistics.
6. Other Duties:
- Perform additional administrative tasks as assigned by the Director.
- Stay updated on industry trends and provide insights that may benefit the Director and the organization.
Skill:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Excel and Google Search.
- Ability to handle multiple tasks and prioritize effectively.
- Strong interpersonal skills and the ability to work well with a diverse range of personalities.
